Privacy Policy

Orphan Trust Japan Co., Ltd. (hereinafter referred to as “the Company”) recognizes the importance of protecting personal information. We comply with the Act on the Protection of Personal Information (hereinafter referred to as “Personal Information Protection Act”) and other relevant laws and regulations. In accordance with the Kyoso Mirai Group Code of Ethics and internal rules regarding the handling of personal information, we establish a system for proper management and ensure the appropriate handling of personal information.

Definition of Personal Information

In this privacy policy, “personal information” refers to information provided to the Company that can identify an individual, including but not limited to name, address, telephone number, gender, e-mail address, occupation, and job title—either individually or in combination with other data.

Acquisition and Handling of Personal Information

The Company shall acquire personal information in a lawful and fair manner. At the time of acquisition, we will clearly specify the purpose of use in advance. The Company will handle personal information within the scope necessary to achieve the purpose of use that has been notified or publicly announced in advance.

Provision of Personal Data to Third Parties

The Company will not provide or disclose any personal data to third parties except in the following cases:

  • When the individual has given consent
  • When the data is processed into a statistical format in which individuals cannot be identified
  • When it is deemed appropriate for a group company of the Company to respond
  • When required to disclose under laws or regulations
  • When information is provided in accordance with the procedures set forth in Article 23, Paragraph 2 of the Personal Information Protection Act.

Management of Personal Data

The Company will establish and maintain a management system for personal data by adhering to the following: 
  • Ensure the accuracy and up-to-dateness of personal data content.
  • Implement appropriate safety management measures to prevent leakage, loss, destruction, falsification, and unauthorized access of personal data, and strive to maintain these measures.

Raising Awareness about the Protection of Personal Information

The Company will promote awareness among its officers and employees regarding the importance and necessity of protecting personal information, and work to ensure thorough understanding and compliance.

Inquiries Regarding Retained Personal Data, Notification of Purpose of Use, Disclosure, Correction, or Suspension of Use

When a request is made by the individual for notification of purpose of use, disclosure, correction, or suspension of use regarding the retained personal data, the Company will respond promptly and within reasonable scope.

Security Control Measures

The Company shall take organizational, physical, human, and technical measures to prevent unauthorized access, loss, destruction, falsification, and leakage of personal information provided by individuals.

(Organizational Security Measures)
The Company designates a person responsible for handling personal data and establishes a reporting system for any violations or potential violations of relevant laws and handling procedures.

(Human Security Measures)
The Company regularly provides training to its officers and employees regarding considerations in handling personal data.

(Physical Security Measures)
The Company takes measures to prevent theft or loss of devices, electronic media, and documents containing personal data. When transporting such items—including movement within the office—appropriate steps are taken to ensure that personal data cannot be easily identified.

(Technical Security Measures)
The Company implements access control to limit the range of personnel and databases that handle personal data. Systems handling personal data are protected from unauthorized access and malicious software from outside the organization.

Changes to the Privacy Policy

The Company will comply with all applicable laws and regulations regarding the protection of personal information and may revise this policy as necessary to improve the practices outlined above. How to Request Disclosure, Correction, Suspension of Use, or Cessation of Provision to Third Parties

To request notification of the purpose of use, disclosure, correction, suspension of use, or cessation of provision to third parties based on the Act on the Protection of Personal Information, please fill out the prescribed request form and send it by mail.

2. Identity Verification
To ensure protection of your privacy, the Company will confirm whether the request is made by the individual or their representative.
If the request is not confirmed to be made by the individual or their authorized representative, we may not be able to respond.
Please enclose the following documents with the completed request form. Copies will be made and handled under our information management standards. Please note that the documents will not be returned.

(1) Verification of Identity
Copy of driver’s license or passport
If neither is available: a copy of the family register (koseki), residence certificate, health insurance card, or pension book

(2) Verification of Representative
For legal representatives: a copy of the family register or court ruling
For voluntary representatives: a letter of attorney with the seal of the individual and a certificate of seal registration

3. Fees
(1) Fee Amount
For notification of the purpose of use or disclosure of personal information, a uniform fee is required.
Fee: ¥500 (flat rate)

(2) Payment Method
Payment should be made via postal money order or postage stamps.
Please enclose the payment with the request form and identification documents.

Response to Requests

The Company will respond within two weeks of receiving all required documents, using the method specified by the requester.
